We are looking for an energetic individual to fill the Office Administrator role within our team. The Office Administrator reports to the owner and head Aircraft Maintenance Engineer (AME) and is responsible for providing clerical, administrative and financial support services. This includes managing vendor accounts, basic bookkeeping, managing basic payroll, managing schedules, handling correspondence, maintaining records and files, ordering parts supplies, and assisting with clerical and organizational duties to ensure smooth office operations. Providing these services in an effective and efficient manner will ensure that the business runs smoothly.

Knowledge & Skills Required

Accounts Payables, administration or clerical services experience required

Aircraft or aerospace interest or experience a definite asset

Responsibilities

Communication and correspondence: Respond to emails and manage other incoming/outgoing mail and packages.

Scheduling and coordination: Manage calendars and schedule client appointments

Record and document management: Maintain and organize both paper and digital records

Hangar supplies: Order parts and supplies

Office organization and supplies: Keep records and files up to date, manage office supplies, and ensure equipment is in working order

Financial and clerical support: Assist with bookkeeping, invoice clients and ensure timely payments, process expense reports, audit invoices, reconcile monthly statements, and maintain accounts payable/receivable records

Human relations support: Process payroll

Administrative support: Provide support to owner with clerical and administrative tasks and perform other related duties as required, such as Instagram, Facebook, and website updates

Front desk and visitor management: Greet visitors and act as a first point of contact for the company
Summary Wilson Aviation, a growing company specializing in the maintenance and restoration of private, vintage, and aerobatic aircraft, is seeking an organized and energetic Office Administrator to support daily operations at its Boundary Bay Airport location in Delta, BC. Reporting to the owner and head Aircraft Maintenance Engineer, the Office Administrator will handle administrative, clerical, and financial duties including bookkeeping, payroll, scheduling, record management, correspondence, and ordering supplies. The ideal candidate has strong organizational and communication skills, experience with accounts payable and office administration, proficiency in Google Suite and Microsoft Office, and a professional, detail-oriented approach.
